With Motus' mileage capture technologies, companies can accurately record personal miles, drive cost recovery, and automate compliance – without the intrusive aspects and privacy concerns of in- vehicle, installed telematics. Self-Reported vs. Automated Mileage Capture According to an annual Automotive Fleet magazine survey, average monthly personal use charges recovered from mobile employees have steadily increased, from $103 per month in 2008 to $128 per month in 2015. But according to Motus, the average cost of personal use is estimated to be more than $230 per month per vehicle – which means companies may be losing as much as $2,800 per vehicle each year in foregone chargebacks. Companies find it difficult to administer accurate personal use chargebacks because most employees don't maintain detailed mileage logs throughout the year as required by the IRS. Instead of detailing each trip, many mobile employees estimate their mileage at the end of the year, which oen results in under-reported personal mileage. On top of that, many employees don't have a good understanding of what constitutes a business mile versus a personal mile, as IRS commute definitions of "home office," "regular office," and "no office" can be confusing. When employees don't understand commute regulations, the result is almost always under-reported personal mileage. Motus has found personal use is oen 2X or more what is being self-reported: In one case, a company's mobile employees claimed personal use of 20%, but automated mileage capture revealed it to be over 40%. Advancements in technology have transformed the workplace over the past decade and have had a significant impact on the way fleet programs are managed. In the past, collecting mileage logs and reporting personal use of company vehicles to the IRS was a time-intensive undertaking. As a result, many organizations with fleet vehicles opted not to add the additional burden of administering personal use chargebacks. Those that did administer personal use chargebacks often turned to arbitrary chargeback amounts based on personal use estimates or industry benchmarks. While simple, this meant that many companies lost money due to under-charging employees with high personal use, while also hurting employee morale because those with low personal use were over-charged and felt unfairly burdened. Fortunately, this is no longer the case. New technologies provide organizations with the ability to accurately capture personal-use mileage, recover the appropriate amount from employees, and stay compliant. Armed with the right solution, organizations can gain visibility into actual personal use and appropriately realign their fleet programs.
